Job Description

PrideStaff is searching for a Senior Administrative Assistant to join the employment verification team of an established investigative services company in Burbank, CA.

This is a full-time position reporting to the Director of Operations and a Vice President.

What you'll do in this position:

  • Administrative support to director and executive
  • Calendar management and meeting coordination
  • Communication on behalf of management with clients (appointment setting, call screening)
  • Preparation of correspondence
  • Creation and distribution of daily, weekly and monthly production reports for all line supervisors and management
  • Sales fulfillment oversight (client onboarding schedules, account change orders)
  • Creation and management of various departmental spreadsheets
  • Document creation, including drafting document language
  • Review, approval and coding of invoices for A/P
  • Inventory and Ordering of Supplies
  • Preparation of Account Management Reports (monthly)
  • Reviewing and Analyzing Data and Reporting on Inconsistencies
  • Auditing of Client Accounts, Contract Renewal Dates
  • Legal Compliance coordination
  • Calendar, coordinate and participate in all client, vendor and department audits
  • Management of in-bound communications, i.e. faxes, email, USPS mail, FedEx,
  • Management of out-bound communications, i.e. USPS mail and shipping
  • Product knowledge subject matter expert (will train)
  • Position may include supervision of additional administrative staff

  • Minimum of 2 years experience in a related role
  • Ability to work under pressure and meet deadlines
  • Careful attention and commitment to accuracy and detail
  • A strong understanding of confidentiality and diplomacy
  • Typing 60 WPM minimum, highly proficient in Word, Excel and Outlook. PowerPoint helpful but not required
  • Strong organizational & prioritization skills
  • Ability to work both independently and as a team player
