Our client in San Ramon  is looking for a dynamic, motivated, responsive, resourceful, independently driven professional to join their team as an Office Assistant. The right candidate will work in a team environment committed to the company's continued growth.  

Summary of Responsibilities:

  • Provide professional and gracious phone coverage with regards to general reception, inquiries, setting appointments, and overall customer service
  • Provide a welcoming presence as the first point of contact for visitors
  • Support the development of client documents including proposals, contracts and correspondence
  • Proactively manage calendars
  • Manage incoming proposals and correspondence and prioritize competing requests
  • Manage meeting/event coordination and preparation
  • Coordinate travel or conference arrangements and expense reporting
  • Participate in team meetings and support the capturing and completion of next steps and action items
  • Support administrative needs of entire team
  • Management/accountability of special projects
  • Deliver on projects to meet or exceed client expectations
  • Build strong relationships with clients and serve internal and external clients/customers in a professional and collaborative manner
  •  Administrative tasks to include, but are not limited to: mail distribution, filing, scanning, copying, fax, shipping, phone answering, calendar & database management  
  • Stock storeroom and order supplies
  • Be responsible for the opening of the office and all related (messages, coffee) duties daily


  • Demonstrated organizational skills and work habits, ability to multi-task and display effective time management skills with ability to set priorities and meet deadlines
  • Ability to maintain confidentiality
  • Ability to remain calm under pressure and maintain a professional demeanor
  • Exceptional problem solving, critical thinking and customer service skills
  • 2+ years' experience in a professional services RIA, Registered Investment Advisory and/or 401k Retirement environment
  • Strong working knowledge of Outlook, MS Word, PowerPoint, Excel, and Publisher
  • Experience working with an Event Coordinator
  • A strong focus on detail and accuracy of work with the ability to take on full ownership of assigned work
