Job Description

Executive Assistant position with State Assembly Member in Sacramento.  This is an exciting opportunity and will be a  Direct Hire position.


Scheduler –

• Responsibilities – Scheduling
o Schedules all meetings, briefings, events, and calendar items involving the Assemblymember;
o Briefs the Assemblymember on all scheduling activities and requests;
o Prepares detailed itineraries for the Assemblymember, including important numbers, locations and
contact names;
o Prepares a memorandum, weekly, highlighting items of significance for the Assemblymember.
o Coordinates scheduling of press, interviews, radio and television time with the Communications
Director;
o Reviews all of the Assemblymember’s mail and invitations;
o Maintains files of invitations that have been declined, accepted, or that are tentative/pending;
o Responds to all invitations, either by written correspondence or by personal telephone call;
o Makes reservations for the Assemblymember’s travel, lodging, and participation at various types of governmental events;
o Submits forms for travel and expense reimbursement for the Assemblymember;
o Monitors the Assemblymember’s incoming telephone calls, takes messages, and returns calls as
requested;
o Maintains the Assemblymember’s files, including notes, and correspondence;

• Responsibilities – Office Management

o Corresponds with the Legislative Data Center and Assembly Rules regarding information technology, supplies and inventory, office maintenance and repairs, and other administrative tasks as assigned by an immediate supervisor;
o Maintains office services by organizing office operations and procedures; designing filing systems; preparing inventory requisitions; performing clerical functions.
o Provides historical reference by defining procedures for retention, protection, retrieval, transfer, and disposal of records.
o Assists with the training of interns and volunteers on clerical and administrative processes within the office, including but not limited to:
 mail retrieval, sorting, and distribution;
 daily file retrieval;
 office etiquette;
 document preparation and delivery;
 familiarity with the legislative process;

• Responsibilities – Fair Political Practices Commission

o Organizes documentation and materials for the Assemblymember’s annual financial disclosure
report(s);
o Prepares the Assemblymember’s annual financial disclosure report(s), and form 803 reports as
necessary;
o Actively tracks gift consumption by the Assemblymember, requests gift letters as necessary, and
responds to erroneous gift letters.


• Responsibilities – Other
o Reports to: Chief of Staff. CSC Scheduler reports to CSC Director
o Assists the CSC Director and Chief of Staff with other assignments as directed;

Job Requirements

  • Previous experience as an Executive Assistant is required
  • Excellent communication skills, both written and verbal
  • Good Computer skills including Microsoft Office Suite
