Office assistant needed near Farmingdale, NY!

Temp to hire position

Pay rate: $16.00 per hour

Responsibilities:

  • Individual must be able to follow defined procedures within tight deadlines according to state regulations and client specifications.
  • Orders required documents from vendors and clients and drafts the required letters/documents with correct personal data.
  • Drafts required documents accurately and timely such as letters, affidavits and required pleadings.
  • Checks the status of the file, updates the client with filed information and escalates to supervisor if needed.
  • Tracks, receives, reviews all documents and provides a summary in a timely and accurate manner.
  • Reviews notes and messages to verify all outstanding issues are resolved, escalates outstanding issues as appropriate.
  • Timely and thoroughly update database with notes and documents each time case is worked, ensuring adequate documentation for billing and subsequent review.
  • Updates database and client web systems with case information within specified timelines
  • Performs other duties as assigned by management
  • Follow all quality, safety, and company guidelines to ensure a safe and productive work environment, and actively live the company values
  • Provide backup support to other team members

Requirements:

  • High School diploma or equivalent required, Associate's degree preferred.
  • Experience in the mortgage and legal industry
  • 2+ years of customer service experience
  • 1+ years of general office experience
  • Ability to perform computer functions and to operate basic office equipment.
  • Ability to work quickly, accurately and with attention to detail in a high-volume environment.
  • Must be available for overtime when required.
  • Should demonstrate good listening skills and the ability to work well with internal and external customers.
  • Must use good judgment, and be courteous and tactful in communications with others.
  • Must be a team player and willing to offer assistance to others where and when needed.
